Expense Report From PDF to Excel

Expense reports from travel and expense tools, credit card portals or colleagues often arrive as PDF. Finance needs the lines in a spreadsheet to check them, total them by category and post them.

PDFConvertFast turns digital expense reports into Excel rows. Paper receipts that were photographed are not supported – they need OCR, which is not available.

Typical columns

  • Date, merchant and expense category (travel, meals, accommodation, mileage)
  • Amount, currency and exchange rate
  • VAT amount and net amount
  • Project or cost centre and approval status

Checking and booking expenses

  • Plain amounts like 89.40 become numbers; foreign amounts with currency codes stay text.
  • Build a pivot table by category or cost centre for monthly reports.
  • Mileage lines (km × rate) can be recalculated in Excel to check them.
  • Receipt images attached to the PDF are not converted.

Keeping records

Keep the original PDF together with the Excel file: the spreadsheet is for checking and booking, while the PDF with the approvals remains the document you archive.

Expense report to Excel – questions and answers

Can I sum the expenses by category?

Yes. After converting, a pivot table with category as rows and amount as values gives you the totals.

Are photographed receipts converted?

No. Photos and scans need OCR, which is not supported. The text of the expense report itself is converted.

What about expenses in foreign currencies?

The amounts are kept as printed; if the report shows a converted amount, that column becomes a number.

Is the expense report uploaded?

No. It is converted in your browser and stays on your device.
