Compress a PDF to Under 2 MB for Email

Many company mail servers, ticket systems and online forms reject attachments above 2 MB – and phone scans of a few pages easily exceed that. Compressing the images in the PDF is usually enough to get under the limit.

Start with “Recommended”, which keeps documents pleasant to read. For longer scans, use “Strong”. The tool can't set an exact target size; the result depends on the pages in your PDF.

Works best with PDFs that contain photos or scanned pages. PDFs with only text are often already small.

Measured results

  • Six-page A4 scan at 300 dpi (19.3 MB): 3.3 MB with “Recommended” – too big – and 1.1 MB with “Strong”.
  • With “Strong”, about ten scanned A4 pages fit into 2 MB.
  • Photo documents with a handful of pictures stayed well below 1 MB.

If the PDF is still too big for email

  • Send the document in two parts – split the PDF in halves.
  • Remove empty or duplicate pages before compressing.
  • Share large reports via a file link instead of an attachment.

Try “Recommended” first. If the file is still above 2 MB, compress again with “Strong”.

Why didn't my PDF get smaller?

PDFs that are mostly text or already optimized have little to save. The tool tells you instead of creating a bigger file.
